Who we are

CLG SPORTS LTD (trading as CLG Academy, company number 14093043) is the data controller for personal information collected through this website. Registered office: 20 Berne Road, Thornton Heath, England, CR7 7BG.

This notice explains what we collect, why, how long we keep it, who we share it with, and your rights under UK GDPR and the Data Protection Act 2018.

Information we collect

We collect information you give us through enquiry forms, register-your-interest forms, email, phone, newsletter signup, and the player details form after you book. That may include:

  • parent or carer name, email, and phone
  • player name, age or date of birth, group, and location preference
  • home address
  • emergency contact name and phone
  • medical notes you choose to share
  • kit name or number, club, and an optional photo of your child
  • your message
  • technical information about how the site is used, if you allow analytics

We do not collect more than we need to run the academy, answer you, take payment, and keep children safe at sessions.

How we use it

We use personal information to:

  • answer enquiries and help place a player in the right group
  • take bookings and provide the coaching you have paid for
  • contact you about sessions, kit, and practical arrangements
  • keep children safe, including using medical and emergency details you give us
  • show academy life on our website and social channels, unless you ask us not to
  • send academy updates by email only if you have asked us to
  • understand how the website is used, only if you allow analytics
  • meet safeguarding and legal duties that apply to a children's sports academy

Our lawful bases under UK GDPR are:

  • contract: taking a booking and delivering the programme you paid for
  • legitimate interests: answering enquiries, running the academy safely, and showing what sessions look like, where this does not override your interests
  • consent: marketing emails, optional analytics, and optional medical notes you choose to share
  • vital interests: using emergency contact or medical information if a child needs urgent help
  • legal obligation: records we must keep for safeguarding or the law

Children

This academy is for juniors. We collect children's information from a parent or carer, not by asking children to use this website on their own. We do not send marketing to children.

A parent or carer can exercise privacy rights on behalf of their child. We take extra care with children's data: only the academy team who need it can see it, and we do not sell it.

Medical and emergency details

After you book, you may tell us about medical conditions and who to call in an emergency. Medical information is optional. If you share it, you are giving us permission to use it only to look after your child at sessions (for example allergies, asthma, or other needs coaches should know).

Health information is special category data. We rely on your explicit consent when you choose to provide it, and on vital interests if there is an emergency. You can ask us to delete medical notes you have shared, unless we must keep them for safeguarding.

Enquiries and marketing

Enquiry and interest forms on this website are provided by a form service. Submissions are sent to info@clgacademy.co.uk so the academy team can reply. The form service stores those submissions for us.

We only send marketing emails if you have asked us to. You can unsubscribe at any time using the link in the email or by contacting us. Signing up is not required to enquire or book.

Payments and bookings

Programme fees are taken through a payment provider. We never see or store full card details on this website. The payment provider processes payment information under its own terms.

After payment, we ask for player details through a form on this website so we can place your child, arrange kit, and keep them safe at sessions. That form is stored by our form service for the academy team.

Photography

We photograph and film sessions to show academy life on our website and social channels. We do not sell images. We avoid using a child's full name with a photo where we can.

If you would prefer your child is not included, email info@clgacademy.co.uk. We will not use new images of them. You can also ask us to take down an image that is already online where it is practical to do so.

Who we share it with

We share personal information only where needed to run the academy:

  • the academy coaching and admin team
  • our website host and security providers
  • the form service that collects enquiries and player details
  • the payment provider that takes programme fees
  • email or messaging tools if you contact us or join the academy list
  • analytics tools, only if you allow analytics cookies

These organisations act on our instructions where they process data for us. We do not sell personal information.

Some providers may process information outside the UK. Where that happens, we rely on appropriate safeguards required by UK data protection law (for example an adequacy decision or standard contractual clauses).

We may also share information if the law requires it, or with emergency services if a child needs urgent help.

How long we keep it

We keep information only as long as we need it for the purpose we collected it:

  • enquiries and register-your-interest messages: 12 months after last contact
  • player, booking, and emergency contact records: while the child is enrolled, then 12 months
  • medical notes: only while the child is enrolled, then deleted unless we must keep them for safeguarding
  • photos and video: until you object, or until we no longer use the image
  • marketing emails: until you unsubscribe
  • analytics: according to the cookie policy

Payment records held by the payment provider follow that provider's retention rules.

Essential cookies and similar storage keep the site working. We only use analytics if you allow it. You can change that at any time. See our cookie policy.

Your rights

You have the right to:

  • access a copy of the personal information we hold about you (or your child)
  • ask us to correct inaccurate information
  • ask us to delete information, where the law allows
  • ask us to restrict how we use it
  • object to processing based on legitimate interests, including photography
  • withdraw consent where we rely on consent (this does not affect use before you withdraw)
  • receive certain information in a portable format

To use these rights, email info@clgacademy.co.uk. We may need to confirm who you are before we reply. We aim to respond within one month.
